1. Introduction

Renous Extenserve Private Limited (“Renous”, “we”, “our”, “us”) respects your privacy and is committed to protecting personal and sensitive personal information (“Personal Data”) that you share with us.

This Privacy Policy (“Policy”) explains how we collect, use, store, process, transfer, and disclose your Personal Data in compliance with:

  • Digital Personal Data Protection Act 2023 (DPDP Act),
  • Information Technology Act 2000, and
  • applicable international frameworks such as the General Data Protection Regulation (GDPR).

This Policy applies to all Personal Data collected through our website (www.renous.in), digital platforms, online forms, event registrations, and other channels controlled by Renous.

By using our platforms, submitting information, or participating in our services or events, you consent to the practices described herein.

2. Scope

This Policy applies to all individuals (“you”, “your”) whose Personal Data is collected or processed by Renous, including but not limited to:

  • clients, customers, and business partners;
  • employees, contractors, and consultants;
  • job applicants and alumni;
  • visitors to our website, digital platforms, or Renous events, roundtables, and conferences.

3. Types of Personal Data Collected

Renous collects only the data necessary for legitimate business or contractual purposes, which may include:

a. Basic Identifiers – name, company, designation, address, phone, email, job title

b. Professional & Transactional Data – billing or financial details, resumes, contractual documentation

c. Digital & Technical Data – IP address, device identifiers, browser data, cookies, site interactions

d. Sensitive Personal Data – government IDs, payment credentials, or other information classified as “personal sensitive information” under the DPDP Act (only when voluntarily provided or legally required)

We do not collect unnecessary or excessive data.

  • responding to queries and support requests;

4A. Data Collected at Events, Roundtables & Conferences

Renous conducts leadership meetings, roundtables, webinars, and conferences (“Events”) as part of our community and thought-leadership initiatives.

When you register for or participate in an Event (online or in person), we may collect:

  • name, designation, organisation, and contact details;
  • professional background and interests;
  • event preferences, photographs, or video recordings;
  • feedback or survey responses;
  • payment or billing information, if applicable.

We use this data to:

  • manage registrations, logistics, and communication;
  • issue confirmations and post-event updates;
  • share relevant materials or networking opportunities;
  • publish limited photos or highlights (with consent where required);
  • comply with venue or regulatory requirements.

5. Lawful Basis for Processing

Processing of Personal Data is based on one or more lawful grounds:

  • Consent: explicit consent provided by you;
  • Deemed Consent / Legitimate Use: where necessary for service or contract performance;
  • Legal Obligation: where processing is required to comply with law or lawful requests.

You may withdraw consent at any time by emailing info@renous.in. Withdrawal will not affect prior processing but may limit our ability to deliver certain services or event participation.

Renous may share Personal Data with:

  • Renous Group entities and affiliates;
  • authorised employees, consultants, and partners;
  • third-party vendors providing IT, marketing, HR, or operational support under strict confidentiality;
  • regulators or law-enforcement authorities when required by law.

Event Sponsors and Partners

With your explicit or deemed consent at registration, Renous may share limited Personal Data (such as name, designation, company, and email) with Event sponsors, knowledge partners, or collaborators for legitimate networking or follow-up purposes connected to that Event.

Such partners are contractually bound to use the data only for the stated purpose and in compliance with data-protection laws.

If you prefer not to have your information shared with sponsors, you may indicate this during registration or email info@renous.in.

Renous does not sell or rent attendee or client data.

7. Cross-Border Data Transfers

Where data is transferred outside India (for example, to cloud hosting or service providers), Renous ensures:

  • adequate protection under contractual or statutory safeguards;
  • compliance with DPDP Act and GDPR principles; and
  • that recipients process information only for authorised purposes.

8. Data Retention

We retain Personal Data only as long as necessary for the stated purpose or as required by law.

Once that period expires, the data is securely deleted, anonymised, or archived.

9. Cookies and Tracking

Our website uses cookies to enhance usability and analytics. You may adjust browser settings to block cookies; some functionality may then be limited.

If registration forms are hosted on third-party sites (e.g., Google Forms or Eventbrite), their own cookie and privacy terms apply.

Under the DPDP Act and global standards, you have the right to:

  • Access – request a summary of your Personal Data processed by Renous;
  • Correction / Updation – rectify inaccurate or incomplete data;
  • Erasure – request deletion when data is no longer needed;
  • Data Portability – receive a copy in a structured format, where feasible;
  • Consent Withdrawal – withdraw earlier consent;
  • Nominee Right – nominate another individual to exercise these rights in case of your death or incapacity.

Requests can be sent to info@renous.in. We acknowledge all legitimate requests within 24 hours and aim to resolve them within 15 business days.

11. Data Security

Renous employs administrative, technical, and organisational safeguards including:

  • secure cloud storage and restricted access controls;
  • encryption and secure transmission protocols;
  • regular audits and employee training;
  • incident response and breach notification procedures.

While we take reasonable measures to protect data, no system is completely secure. In the event of a breach, Renous will notify affected individuals and regulators as required by law.

Our website or event materials may contain links to external sites not controlled by Renous. We are not responsible for their privacy practices or content. Users should review each third-party’s privacy policy before sharing data.

13. Grievance Officer / Contact

In accordance with Section 13 of the DPDP Act 2023, Renous has appointed a Grievance Officer to handle all data-protection queries or complaints.

15. Governing Law

This Policy is governed by the laws of India. Any dispute arising from or relating to this Policy shall be subject to the exclusive jurisdiction of the courts at New Delhi, India.
