Executive Assistant - Gurgaon

We are looking for a proactive and detail-oriented Executive Assistant to support our client’s senior leadership in a dynamic, fast-paced environment. This role requires exceptional organizational and communication skills, sound judgment, and the ability to handle confidential information with discretion.

You will work closely with leadership to manage complex calendars, coordinate travel, and oversee high-priority administrative workflows. Beyond day-to-day support, you’ll play a critical role in streamlining operations, enhancing internal coordination, and enabling leadership to focus on strategic priorities.

Key Responsibilities

Calendar management, coordinating meetings, and scheduling conference calls across time zones, to ensure seamless day-to-day operations for senior leadership.

Organizing domestic and international travel, including itinerary planning, bookings, and managing last-minute changes with efficiency.

Drafting, editing, and formatting business documents, reports, and presentations with accuracy and attention to detail.

Maintaining structured digital and physical filing systems while handling confidential information with discretion.

Coordinating logistics for internal and external events, such as seminars, conferences, and leadership offsites.

Tracking project milestones, updating internal systems, and supporting data-related tasks such as expense reports, invoicing, and deliverables.

Conducting internet-based research, compiling key findings, and providing actionable insights to support leadership decision-making.

Must Haves

Proven experience (2 - 5 years) as an Executive Assistant, preferably within the BFSI sector.

Advanced proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint).

Experience using CRM tools like Salesforce will be considered an added advantage.

Strong communication and stakeholder management skills to work effectively with the leadership.

High attention to detail and strong organizational skills.

Self-starter with strong time management and multitasking abilities.

Nice to Have

Experience working with cross-functional teams or supporting multiple stakeholders.

A basic understanding of financial terminology and business operations will be considered an added advantage.

Exposure to event coordination or planning will be considered a plus.

Basic knowledge of HR or legal documentation processes.
